We are staffing a position as an Administrative Manager for a possible 6 month Contract-to-hire role for growing organization in Leesburg.   This is a 40 hour/week position.  Hours are 9-5.

The ideal person in this role will have strong experience in accounting / bookkeeping and finance, as well as solid administrative experience.

Duties include:

Bookkeeping / Accounting duties
  • Bookkeeping, reports, etc. 
IT, Telecommunication and Security System Management
  • Oversee, manage, and maintain the telecommunication infrastructure and program
  • Coordinate copier IT interface, maintenance, supplies and repairs
  • Proactively maintain and update the Website pages
General Administration/Staff Support
  • Provides administrative support to Executive Director and Admin Team 
  • Maintain agency donor database
  • Compose, print, and send thank you letters to donors
  • Manage online Wish Lists
  • Assemble financial invoice documentation
  • Oversee processing of item donations with assistance from other staff
  • Ensure cost effectiveness in all areas of organization, e.g., insurance, leases, telephone charges, office supplies, etc.
  • Sort and distribute mail
  • Oversee general building maintenance and repairs
  • Maintain and update administrative operations
Special Events and Projects
  • Work with Administrative staff and Board members to coordinate Board fundraising events
  • Plan, implement and oversee building projects 
  • Other duties as assigned
Requirements include:
  • Bachelor’s degree or equivalent years of related experience
  • Prior experience in Non-Profit Management; Organizational Management; Information Technology; or related field
  • At least 5 years of administrative experience as listed above
  • Ability to work well under pressure and meet deadlines; comprehensive understanding of information and communications technology;
  • Multi-task and detail-oriented skill essential; strong planning, organizational, and time management skills are essential; be able to provide leadership, as well as serve in a support capacity; strong interpersonal, written, and verbal communication skills; must be able to work independently and collaboratively with a team.
  • Motor vehicle, criminal background, CPS, and sex offender registry checks required for successful candidate. 
Desired skills include:
  • Excellent writing and oral communication skills necessary
  • Proficient in MS Office Applications including strong Excel skills
  • Experience with Quickbooks Online
  • Experience with databases
  • Excellent organizational and time management skills
  • Strong financial management skills
  • Knowledge of and experience with Windows networking and operating systems
  • Proficient troubleshooting skills
  • Project management skills
